How We Use AI

  • Transaction categorization and automation. AI-assisted features, including those built into QuickBooks, suggest categories, match transactions, and apply bank rules. We review these suggestions before they become part of your books.
  • Financial analysis. We may use AI to help spot trends, unusual transactions, variances, and potential errors in your financial or operational data.
  • Tools, scripts, and spreadsheets. We may use AI to help build custom spreadsheets, reports, and automations used in your engagement.
  • Emails, reports, and documents. We may use AI to help draft correspondence, summaries, and reports, which we then edit and finalize.

Human Review and Accountability

AI assists our work; it does not replace our judgment. Every AI-assisted output is reviewed by our team before it is delivered to you or recorded in your books. AI does not make final decisions about your financial records, and Athens Bookkeeping remains fully responsible for the accuracy and quality of the work we provide.

How We Protect Your Information

  • Minimum necessary data. We share only the information needed for a task and remove or mask sensitive identifiers (such as Social Security numbers and full account numbers) whenever practical.
  • Business-grade tools. We use AI tools with business data protections whose terms do not permit your data to be used to train public AI models.
  • No credentials. We never enter your passwords, login credentials, or banking access information into AI tools.
  • Same confidentiality standards. Information processed with AI is held to the same confidentiality obligations as all of our services.

What AI Does Not Do

AI tools do not have independent access to your bank accounts, do not initiate payments or transfers, do not communicate with you or third parties on our behalf without our review, and are not relied on as the sole basis for any tax or legal guidance.
